Billing FAQ: Understanding How You're Charged




How will I be billed?

You will receive your monthly invoice by the Xth of each month.

Billing is calculated based on:

  • The number of Active employees as of the last day of the previous month

  • Excluding staff whose last working date falls on that same day

  • Multiplied by the pricing of your selected plan





When is an employee considered Active?

An employee is considered active if:

  • They are newly joined and granted immediate full access on their joining date

  • They are newly joined and granted full access upon admin approval (from the date of approval)

  • They are an existing employee





Will I be billed if an employee uses modules not included in our plan?

Yes. By default, all modules are available in your account. If any employee uses a module outside your selected plan, you will be billed based on ad-hoc usage pricing.

What happens when I onboard a new employee during the month?

  • New employees are not charged plan fees during their first month

  • However, if they use any modules, ad-hoc pricing will apply for that month

  • From the second month onwards, they will be charged based on your plan





What actions are considered as module usage?

Will I receive a refund for backdated off-boarding within the month?

No. HReasily does not provide refunds for backdated offboarding within the current month. Charges will remain unchanged.




Will I be billed for backdated payroll entries?

Yes. Backdated payroll will be billed based on ad-hoc pricing.

Example:
If payroll for May 2025 is generated in June 2025, charges will appear in your July 2025 invoice.




Will I be billed for payroll processed for off-boarded employees?

Yes. Any payroll processed for off-boarded employees will incur ad-hoc usage charges.




Managing Module Visibility


Who can access the Default Module setting?

Only users with Company Admin rights.


Can I reset to default module visibility?

Yes. You can re-enable all modules by clicking Edit in the Default Module widget and ticking all available modules.


I don’t see the Default Module widget

Ensure you have the proper admin rights. If the issue persists, please contact HReasily Support.
