Managing and Syncing Timesheets with Payroll

In this guide, you'll learn how to efficiently review and manage timesheets, including details on overtime, lateness, and undertime. This process allows for thorough approval or rejection of entries before they are synced to payroll, ensuring accuracy and fairness in the payroll process.


1. Go to Timesheet > Team Timesheet > My Approval Records/All Records and choose a pending employee's timesheet.


2. Access the employee's timesheet for approval and tick the "PUSH TO PAYROLL?" option. You can also map and adjust the pay type if needed.



3. After making your selections, click "Approve."


5. The settings will then be locked. If you need to make changes, click the "Request for Cancellation" button.



Important: 

  • Timesheets with "Push to Payroll" selected will be marked as "Approved".
  • Timesheets not selected for "Push to Payroll" will be marked as "Processed without Payroll."




Syncing Timesheet Data to Payroll


Once a timesheet is approved, you can proceed with running payroll. The timesheet data will be automatically synced.


You can adjust the dates and hourly rate by clicking "Set Period."


Additional Notes:

  • If the payroll has been approved and then recalled, the previously synced data will remain in the payroll table.

  • If a timesheet cancellation is submitted after payroll approval and reaches the final approver, an error message will appear stating, “Unable to cancel submission because there are amounts synced to released payroll.”

  • If the payroll status is in "Draft" or recalled and an approved timesheet is canceled or rejected, any previously synced data (overtime, lateness and undertime) will be removed from the payroll table.

  • If the administrator changes the pay rate or pay type, the synced data in the payroll process will be updated upon re-approval of the timesheet.
