Setting Up Count Overtime based on Employee Start-End Time

This guide aims to help you record overtime accurately for weekdays, days off, rest days, and public holidays based on the employee's start and end times. By following this approach, you'll be able to calculate the necessary additions for payroll synchronization effectively.


Configuring Overtime Setting


1. Go to Timesheet > Timesheet Settings > Advanced Settings.

 

2. In the Overtime section, select the "Based on start and end working hours" option under Default Daily Overtime 

and configure the overtime tolerance.


Important: The calculation of overtime tolerance will be based on the employee's work week schedule or scheduled shift.


Example: If the work week schedule is “Monday to Friday, 9:00 AM to 6:00 PM”:

  • Tolerance Overtime (Start Working Hour): If set to 15 minutes, overtime will be calculated if the employee clocks in earlier than 8:45 AM.
  • Tolerance Overtime (End Working Hour): If set to 15 minutes, overtime will be calculated if the employee clocks out after 6:15 PM.


3. Next, select the appropriate options under the Count overtime on non-working days section to include Day Off, Rest Day, or Public Holiday.



The overtime calculation logic will vary depending on the employee's work week. This is determined by whether the employee works under:

  • Fixed Schedule (Fixed Start and End Time Work Week)
  • Scheduled Shifts (Flexible Work Week)
    For employees scheduled through a shift, the following work week types are supported:
    • Fixed Daily Working Hours with a Scheduled Shift
    • Flexible Daily Working Hours with a Scheduled Shift

Count Overtime based on Employee Start - End Time for Fixed Start-End Time Work Week

Normal DayWhen employees time in before the scheduled start time or time out after the scheduled end time:

Example:
Work week schedule: Monday to Friday, 9 AM to 6 PM
Tolerance Overtime (Start Working Hour): 15 minutes
Tolerance Overtime (End Working Hour): 15 minutes


Employee Time Data:

  • Monday (Regular): Time in at 8 AM, time out at 6:30 PM

    • 1 hour of overtime before the start time
    • 30 minutes of overtime after the end time
  • Tuesday (Regular): Time in at 8:50 AM, time out at 6:16 PM (1-hour break)

    • 16 minutes of overtime
  • Wednesday (Regular): Time in at 8:40 AM, time out at 6:15 PM (1-hour break)

    • 20 minutes of overtime
  • Thursday (Regular): Time in at 9 AM, time out at 6 PM (1-hour break)

    • No overtime
  • Friday (Regular): Time in at 8:45 AM, time out at 6:15 PM

    • No overtime
  • Saturday (Day Off): -

  • Sunday (Day Off): -

Rest Day/Off Day/Public Holiday

When there is time recorded on a Rest Day, Off Day, or Public Holiday:


Example:

Work week schedule: Monday to Friday, 9 AM to 6 PM
Tolerance Overtime (Start Working Hour): 15 minutes
Tolerance Overtime (End Working Hour): 15 minutes


Employee Time Data:

  • Monday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Tuesday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Wednesday (Regular): Time in at 9 AM, time out at 6 PM
    • No overtime
  • Thursday (Public Holiday): Time in at 12 PM, time out at 9 PM

    • 9 hours of overtime
  • Friday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Saturday (Day Off): Time in at 9 AM, time out at 11 AM

    • 2 hours of overtime
  • Sunday (Day Off): -



Count Overtime based on Employee Start - End Time for Scheduled Shifts 

(Flexible Work Week)


Requirements:

  • The scheduled shifts must be published.
  • Open shifts must be claimed by the employee.



  • Fixed Daily Working Hours with Scheduled Shift
  • Flexible Daily Working Hours with Scheduled Shift
Flexible Daily Working Hours align with Scheduled Shift
Normal Day

When an employee times in earlier than the scheduled shift start time or times out later than the scheduled shift end time.


Example:

  • Scheduled shift: Monday to Friday, 9 AM to 6 PM
    Work Week: Sat and Sun are Days Off
    Tolerance Overtime (Start Working Hour): 15 minutes
    Tolerance Overtime (End Working Hour): 15 minutes


Employee time data:

  • Monday (Regular): Time in at 8 AM, time out at 6:30 PM

    • Overtime: 1 hour
    • Overtime: 30 minutes
  • Tuesday (Regular): Time in at 8:50 AM, time out at 6:16 PM (1-hour break)

    • Overtime: 16 minutes
  • Wednesday (Regular): Time in at 8:40 AM, time out at 6:15 PM (1-hour break)

    • Overtime: 20 minutes
  • Thursday (Regular): Time in at 9 AM, time out at 6 PM (1-hour break)

    • No overtime
  • Friday (Regular): Time in at 8:45 AM, time out at 6:15 PM

    • No overtime
  • Saturday (Day OFF): -

  • Sunday (Day OFF): -


When a scheduled shift has been published, and an employee clocks in before the shift start time or clocks out after the shift end time.

Example:

  • Scheduled shift: Monday to Friday, 9 AM to 6 PM
    Work Week: Sat and Sun are Days Off
    Tolerance Overtime (Start Working Hour): 15 minutes
    Tolerance Overtime (End Working Hour): 15 minutes

Employee time data:

  • Monday (Regular): Time in at 8 AM, time out at 6:30 PM

    • Overtime: 1 hour
    • Overtime: 30 minutes
  • Tuesday (Regular): Time in at 8:50 AM, time out at 6:16 PM (1-hour break)

    • Overtime: 16 minutes

    • Overtime: 20 minutes
  • Thursday (Regular): Time in at 9 AM, time out at 6 PM (1-hour break)

When there is time data on Rest Day, Off Day, or Public Holiday.

Example:

  • Scheduled shift: Monday to Saturday, 9 AM to 6 PM
    Work Week: Wednesdays and Sundays are Days Off
    Tolerance Overtime (Start Working Hour): 15 minutes
    Tolerance Overtime (End Working Hour): 15 minutes

Employee time data:

  • Monday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Tuesday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Wednesday (Day OFF): Time in at 1 PM, time out at 8 PM

    • Overtime: 6 hours (within scheduled shift) @ 100% hourly rate
    • Overtime: 2 hours (outside scheduled shift) @ 300% hourly rate
  • Thursday (Public Holiday): Time in at 6 AM, time out at 10 PM

    • Overtime: 3 hours (outside scheduled shift) @ 300% hourly rate
    • Overtime: 9 hours (within scheduled shift) @ 100% hourly rate
    • Overtime: 4 hours (outside scheduled shift) @ 300% hourly rate
  • Friday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Saturday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Sunday (Day OFF): -


When a scheduled shift has been published, and an employee clocks in before the shift start time or clocks out after the shift end time.

Example:

  • Scheduled shift created and published for: 
    • Monday - Tuesday: 9 AM to 6 PM
    • Wednesday: No Shift created
    • Thursday - Saturday: 9 AM to 6PM
    • Sunday: No Shift created

Employee time data:

  • Monday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Tuesday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Wednesday (Day Off due to no shift being created, or a shift was created but not published): Time in at 1 PM, time out at 8 PM

    • Overtime: 7 hours
  • Thursday (Public Holiday – a shift may be created and published, or there may be no shift created at all): Time in at 6 AM, time out at 10 PM with 1 hour break

    • Overtime: 15 hours (with a 1-hour break deducted)
  • Friday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Saturday (Regular): Time in at 9 AM, time out at 6 PM

    • No overtime
  • Sunday (Day OFF): -
