There will be many processes in your company that require approval, e.g. applying for leave, making expense claims, submitting timesheets.
You can set up all the relevant approval chains under the Approval settings, which can then be used in each module, or even for standalone ad-hoc approval requests.
Setting up approval templates
Go to Company > Approvals on the left side navigation menu.
Go to Approval Settings and click on the Create button to create a new approval template.
Give the template a name so that it's easy to find, and a description if necessary.
Then, set up the approval chain with as many steps as necessary.
Step 1
Choose between To approve and To be notified. Employees that are only notified will not need to take any action, they will just receive the relevant chat/email notifications.
Step 2
Choose between Manager, Department Head, Work Location Head, Select Employee, or Select Guest User.
Step 3
If necessary, click on the Add new approval node button to add another step in the approval chain.
Note: the numbering of the steps signifies the order of the steps.
If you wish to notify someone prior to approval, i.e. when the request is made, you will need to add a To be notified step BEFORE the To approve step.
If you wish to notify someone after the request has been approved, you will need to add a To be notified step AFTER the To approve step.
See this example below, where the person is notified both BEFORE and AFTER the approval. You can tell the order of the steps by the numbering on the side.
You can click and drag using the icon on the far left to change the order of the steps.
Click the delete button if you wish to delete a step.
Then, configure the following settings.
Enable Chat Notifications - enable notifications in HReasily Pro chat
Enable Email Notifications - enable notifications through email
Can Delete Cancelled Requests - the person who made the approval request can delete it if they cancelled it
Can Delete Rejected Requests - the person who made the approval request can delete it if an approver rejects it
Auto Forward - if an approver does not take any action, the system will automatically forward the approval request to the next approver in line after a set number of days
Reminders - if an approver does not take any action, the system will automatically remind them to approve after a set number of days
Remember to click on the Save button to save the template.
Once the approval templates are set up, they can be used across HReasily Pro, as well as within the Approval system for ad-hoc approvals.
